1.1 Introduction

In proceeding with the registration of a participant for events organised by Fundacja Edukacji Muzycznej (Music Education Foundation), you, as the parent or legal guardian, are acknowledging and agreeing to the terms set forth in this document.

1.2 Event Pricing Terms

Discounted rates for domestic participants apply to those actively involved in Suzuki music education in Poland, as determined at the event organisers' discretion. Organisers have the final say in cases of eligibility uncertainty.

Participants charged less than the applicable fee will be notified to pay the difference within 14 days of this notice. Organisers may issue such notices until 30 days after the event's conclusion.

Should a participant be overcharged, they have the right to request a refund of the surplus within 30 days following the event.

1.3 Future Updates to Terms and Conditions

This version of the Terms and Conditions was published on January 01, 2025. The Music Education Foundation (Fundacja Edukacji Muzycznej) reserves the right to update or modify these terms at any time. Updates or changes to these terms will apply only to events and activities initiated after the posting of the revised terms on our website (suzukiworkshop.org).

1.4 Legal Jurisdiction

This agreement, including all matters regarding the processing of personal data, is governed and construed in accordance with the laws of Poland. In the event of any dispute or claim associated with these terms or their implementation, the parties agree to submit exclusively to the jurisdiction of the courts of Poland.

Furthermore, it is acknowledged that the processing of personal data as outlined in this agreement is also subject to the regulations and directives of the European Union, notably the General Data Protection Regulation (GDPR). The Fundacja Edukacji Muzycznej (Music Education Foundation) commits to processing all personal data in compliance with both the legal framework of Poland and the applicable EU directives and regulations. In cases of conflict or discrepancy between Polish law and EU regulations, the Foundation will endeavour to resolve such matters in a manner that aligns with the principles and obligations of both legal frameworks.

We retain event registration data to facilitate the organization of future events and to ensure compliance with our legal obligations. This data is stored only for as long as is necessary for these purposes and in accordance with applicable legal requirements and standards.

3. Cancellation Policy

3.1 Suzuki Strings Workshop 2025

This section only applies to "Suzuki Strings Workshop 2025".

Please understand that the organisation of such an event involves complex logistics and detailed planning. From grouping students into compatible levels to booking teachers and securing venues for multiple classes, these preparations commence immediately after the registration closing date, with financial commitments made accordingly.

Cancellations can have a significant impact not only on the organisers but also on fellow students and teachers. They can disrupt the carefully arranged group dynamics and resource allocation. Given these complexities, we kindly request that parents commit to attending the workshop once their child has been successfully accepted. This commitment is vital for the smooth execution of the event and to ensure a beneficial experience for all involved.

However, should you need to cancel due to unavoidable circumstances, below are the policies.

Withdrawal 'before payment': Your child is not officially registered as a participant in the Suzuki Strings Workshop 2025 until full payment has been received. Consequently, you are at liberty to withdraw your registration at any time prior to making the payment. However, it's important to be aware that if payment is not received by the specified due date, as indicated in the payment email, your child's reserved place in the workshop may be offered to another participant.

Cancellation 'before' 1st May 2025: Once you have paid if you choose to cancel your participation for reasons other than accommodation preferences, up to 50% of the workshop fee can be refunded. This policy accounts for the costs and reservations already committed on behalf of the participant, limiting the opportunity for others to attend. To be eligible for this 50% refund, notification of cancellation must be sent by no later than 1st May 2025, and will be subject to the deduction of international bank transfer fees. Not that any coach and bus booking cannot be refunded.

Cancellation 'after' 1st May 2025: It is important to note that any cancellations made after 1st May 2025 will render the full workshop fee non-refundable. Not that any coach and bus booking cannot be refunded.

Cancellation Due to No Accommodation at Szarlota: In the event that our venue partner, Hotel Szarlota Resort, is unable to provide suitable accommodation for you, you have the option to withdraw from the Suzuki Strings Workshop 2025. Should you decide to withdraw under these circumstances, we will process a full refund of the participation fee. Please note, this refund will be issued minus any costs associated with international bank transfers. In order to get this refund, please contact us by e-mail within 7 days from receiving the information from “Szarlota” Resort.

Hotel Cancellation: For cancellations related to accommodation, please be aware that the hotel (Hotel Szarlota Resort) operates under its own cancellation policy. You will need to contact the hotel directly for these matters.
